We get these common questions from our followers: I have so many responsibilities, tasks, and things to do! How can I focus more on my business when I hardly get any time?
If you can relate to this and find yourself on the edge of burnout because of your business, it’s because you don’t have the right strategy to reduce your workload and maximize your efficiency.
In this article, we will share with you different strategies that you can utilize to streamline processes and operate your business efficiently so you don’t have to constantly feel overwhelmed and burnt out.
Let’s dive in to explore this strategy!
1. EAD Principle
EAD stands for Eliminate, Automate and Delegate.
This is one of our favorite strategies that we use every day to handle our business at ummahpreneur. Here is how you can start!
Your first job is to look at everything within your business and make a list of all the tasks that you are responsible for. Suppose you handle social media, create content, research products, talk to your clients, reply to emails, or do various other things, you should write them all down in a list.
You might be thinking, why do you need a list of all the tasks? Well, it’s to apply the first strategy in EAD, which is to see what we can eliminate.
Step 1: Eliminate
Once the list is prepared, it’s time to eliminate the tasks that are taking up your time, energy, and headspace.
Then you need to go through every single task and critically evaluate if you can eliminate it, automate it, or delegate it.
You can do this every week or biweekly. We prefer to do it on Friday because it’s the end of the week, and we can reflect on how the week went, what things we’ve done that weren’t necessarily productive to our business, and what we should be focusing on to make our process more efficient.
Let’s understand this with this example. Suppose you just launched a coaching business, and you’ve decided that you want to be active on social media. You then go on trying to be on five social media platforms at once.
You’re trying to post on Instagram, Facebook, Tik-Tok, LinkedIn, and even YouTube videos. You have this giant to-do list of creating content for each platform, and just thinking about it gives you stress.
To fix this, you need to examine your business and ask yourself objectively if you can eliminate any of these platforms for your business? Ask yourself “where I can find my ideal clients and followers” and focus only on that. You eliminate everything that does not move the needle forward.
So if your job is to deal with professionals, you can focus on Linkedin & Facebook, and ignore the rest. Put all your energy and time into creating valuable content that will make a difference in your business and generate more clients & sales!
Now using this eliminate strategy from EAD will make your life more productive.
Step 2: Automate
Suppose if you can’t eliminate some of your tasks, the next step is to see if you can automate!
This is what we do in our business, automate the content creation process. Every month we have a week where we just focus on creating content for all platforms instead of worrying about creating content every day. We call this “content creation week”.
Creating content in advance helps us automate the process of being active on our social media, and for the rest of the month, we can focus our energy and time on other areas of our business.
So this is how you can automate many tasks in your business to make your life more productive and hustle-free.
Step 3: Delegate
The last principle that you can use from the EAD method is to delegate. We recommend you do this when you start generating revenue from your business.
Suppose you have few clients and you’re making revenue from your business. You can then hire a virtual assistant or social media manager who can take care of your social media content, and you can focus on other high-level tasks.
Only keep the tasks on your list that are absolutely essential and which you can not EAD (eliminate, automate or delegate).
This ensures you are always working to grow your business and achieve success faster than ever.
Create a laundry list, critically evaluate every item, and ask yourself, can I EAD this? Can I eliminate it or automate it or delegate it?
This strategy will definitely free up your time and give you more room to focus on different areas in your business and generate new ideas that will take your business to the next level.
2. Time Tracking
The second strategy that we want to share that will make a massive difference in your productivity and reduce overwhelming is to employ some sort of time tracking in your business.
What this means is to schedule your whole day in advance. You can schedule these specific tasks that you’re going to be working on and focus on the top priorities to take your business to the next level.
You can then track how much time those tasks took you to complete and how much time you’re spending on specific business areas?
When you start to track your time in this way, then this will eventually allow you to reflect and recognize which task is taking up your most time.
Then you can ask, does this task really need so much of my time? If No, can you eliminate it? And if it requires your time, can you automate or delegate it?
3. Plan Your Days With Intention
The third and final strategy is to plan your days with intention. With intentionality planning, you can focus on specific business areas for that particular day.
For example, on Wednesday, you’re going to work on mapping out all of your social media content, which frees up your day for Thursday to reply to all of your client’s inquiries. This allows you to really just organize yourself to reduce overwhelm.
If you don’t intentionally plan your days within your business, you will find yourself rushing to accomplish all tasks without any order or organization! This will eventually bring stress into your life and drain your energy.
So with intentional planning, you can focus on a realistic amount of tasks to do and not more and not less.
We promise you that if you employ these three strategies in your business, then you will definitely see a positive impact!
To Sum Up…
Firstly, the EAD principle is all about: Eliminate, Automate and Delegate. If there is one thing you could take away from this article, follow the EAD principle, and it will definitely change your life. Give us credit as we came up with this principle of EAD.
Secondly, we talk about Time Tracking In Your Business. If you’re spending 10 hours a week writing blogs or replying to emails or social media content. Then maybe you need to start considering hiring someone else to help you in that area because it’s taking up too much of your time.
Thirdly, Plan Your Days With Intention. So make sure you plan your day in advance and only schedule realistic tasks that you will be able to complete that specific day.
We hope these three strategies will help you reduce your overwhelm and allow you to be more efficient and productive in your business inshallah.
